# NorthCore Labs: the full text of every core page > Plain-text copy of northcorelabs.io for AI assistants and answer engines. The summary is at https://northcorelabs.io/llms.txt. --- ## NorthCore Labs | AI Automation, Custom Software & Business Systems URL: https://northcorelabs.io/ ### We build the systems your business runs on. The website, the front desk, the follow-up and the operations behind them. Built on the software you already use, scoped in writing, and yours to keep. Book a call → How we work Featured on Why NorthCore exists You bought the software. Set up half of it. Hired someone to run it. Ended up running it yourself. The leads still sit in an inbox. Follow-up still lives in your head. Friday still means building a report by hand. You need someone to get inside the business and say: here’s what’s getting stuck, here’s what we should fix, and here’s what it’ll cost. Then take responsibility for getting it done. You call a plumber for the pipes. A lawyer for the contract. You call NorthCore for the systems your business runs on. We figure out what’s worth changing, build around the software you already use, and get your team running it without everything coming back to you. Stop buying tools. Start owning systems. What we do ### Three ways to work with us. Each stands on its own. Most clients start with one and add the next when the first one is paying for itself. 01 ### Industry systems The front desk, the follow-up and the reporting for a med spa, a dental practice, a law firm, a brokerage, a trade or a solar dealer. One build fee, scoped on the call · optional maintenance See industry systems → 02 ### Custom operations and tech The CRM, the automations, the dashboards, the voice agents and the texting engines your business runs on. Built on your stack, then run with you. Scoped from an audit starting at $2,500 · half credited toward implementation See custom operations and tech → 03 ### Websites and graphic design A custom, mobile-first site with booking, forms, funnels and the machine-readable layer built in, and the brand design around it. One flat price, however complex. $1,000 once · $64.99 or $149.99 a month See websites and graphic design → Industry systems ### Built for the way your industry actually works. The same engine, tuned to the software, the workflows and the language of each business. Pick yours. Aesthetics and wellness ### Med spas and aesthetics The operating system for the whole practice. See the system → Healthcare ### Dental practices The front desk is missing the call worth $5,000. See the system → Legal ### Law firms One extra signed case a month pays for the whole system. See the system → Real estate ### Real estate The fortune is in the follow-up. The system does it for you. See the system → Trades ### Home services Everything between the call and the truck, handled. See the system → Solar and home improvement ### Solar A texting engine that works every solar lead until it books or says no. See the system → How an engagement runs ### Diagnose. Build. Measure and own. Every engagement, from a website to a fractional operations seat, runs the same three phases. The principles and diagrams behind each one are on the operations page. 01 · How we diagnose ### Finding where speed, money and time leak. The lenses we use to see the business as it actually runs, before we touch a thing. Data first, opinions second. 01 ### Diagnose Process mapping. Every handoff, decision and dead end, drawn. Value stream map. Value-add time against waiting. Theory of Constraints. The one bottleneck capping output. Pareto. The vital few causes behind most of the pain. What you get: a map of the operation as it runs, the leaks quantified, and a ranked list of what to fix first. 02 · How we build ### Engineering the fix, and making it stick. How we turn the map into working systems your team actually adopts: CRM, automations, dashboards, integrations and the SOP library, shipped by an engineering bench in days, not quarters. 02 ### Build DMAIC. Define, measure, analyze, improve, control. SIPOC. The whole workflow on one page before it is built. Standard work. Documented, automated, repeatable. RACI. One accountable owner per task. What you get: the systems, wired into the tools you already run, documented so your team can run them without us. 03 · How we measure and own ### Staying accountable to the numbers. How we instrument the operation and keep one person answerable for the result. Not a consultant who leaves a report: an embedded operator who owns the outcome. 03 ### Measure and own KPI tree. One north-star metric and the few levers that move it. Control charts. Drift caught before a customer feels it. OKRs. Outcomes scored, not activity. Balanced scorecard. Financial, customer, process, learning. What you get: a weekly cadence, a scorecard your whole team reads, and someone in your leadership meetings who owns the number. In their words ### What the businesses we build for say. Real clients, quoted with permission. ★★★★★ “I can't recommend NorthCore Labs enough. Over the past 2 years I have been working with Will and the team, and the systems that they put in place are a huge reason I have been able to scale to 3 locations and 7 providers and counting. I was hesitant and skeptical at first, but they have gone above and beyond.” Anna Med spa owner · Northern Massachusetts ★★★★★ “I have been in the aesthetic space for 6+ years now and hopped around to 3 different EMRs in that time, trying to find one that actually did everything I needed and wouldn't break the bank, until I came across NorthCore, who has completely transformed my digital presence and systems. You really get amazing support from them. 10/10.” Sam S. Aesthetics · Dallas, Texas ★★★★★ “I started my practice in 1989 and was featured in a magazine for being one of the first practices to be on the world wide web. What NorthCore has done has been quite amazing. They are very sophisticated when it comes to tech and have made my day to day a whole lot easier. I had my best month ever just 2 months into the program, and they did it without marketing.” Carl F. Practice owner · South Boston, Massachusetts ★★★★★ “Just want y'all to know, it's truly working. It's all truly working. I can't believe it.” Marissa Med spa owner · Slidell, Louisiana ★★★★★ “I bought this HVAC company through the help of an ETA fund and was connected with NorthCore Labs early in our acquisition. I've ran and exited 3 companies now and thought I knew business until these guys came along. The business landscape is changing; automations are able to drive more and more of the business. After their first phase of integrations we knew these guys were someone we'd use forever. These guys are the real deal.” Ray Michael HVAC company owner · Texas ★★★★★ “I can't recommend NorthCore Labs enough. What a system changes for your business depends on your market, your offer and your volume. How we price ### Flat fees, scoped in writing. One number to build it, agreed before we start. Maintenance and fractional engagements are monthly, scoped the same way. Whatever we build, you own. The whole price list is one page. Offer To build To keep it running Custom operations and tech Software, systems, a fractional seat Scoped from an audit, from $2,500 Flat monthly, scoped Operations → Industry systems Front desk, follow-up and reporting One build fee, scoped on the call Optional, after 90 days Industries → Websites and graphic design Custom, mobile-first, however complex $1,000 once $64.99 or $149.99 /mo Websites → The operations audit starts at $2,500, priced on the size of the company, its revenue, its departments and its software. Half the audit fee is credited toward implementation on any build over $5,000. Every business runs on systems. Most run on one that is old, patched and never finished . Bring the system into your business. Book a call → --- ## Small Business Website Design, $1,000 Flat | NorthCore Labs URL: https://northcorelabs.io/websites/ Websites and graphic design ### However complex the build. One flat price. Quizzes. Funnels. Forms. Service menus. Live inventory. Logins and portals. Wired into the CRM and the calendar you already run. The scope changes what we build; it never changes what you pay. Book a free call → See the price list The build $1,000 once Designed, built and live on your domain, ready for approval in seven business days. Yours outright. Online $64.99 a month Keep it online. Growth · most chosen $149.99 a month Keep it working. Keep building. Featured on The usual way this goes ### Every quote starts small. Then the scope creeps. You ask for a website. You get a number. Then you mention you would like a quiz to help people pick a service, and the number moves. You mention the inventory should update itself, and the number moves again. Six weeks later you are reading a change order for a contact form. ### The brochure problem Most small-business sites are a printed brochure that happens to be online. They describe the business. They do not qualify anyone, book anything, or capture a single lead that was not already going to call. ### The moving-number problem The features that actually make a site earn, quizzes, funnels, inventory, portals, are exactly the ones priced as extras. So they get cut, and you are left with the brochure you did not want. Try it ### Build the most complicated site you can. Watch the price not move. Tick everything you want. The scope meter climbs and the delivery estimate climbs, because more genuinely takes longer to build. The number at the bottom stays exactly where it is. Core pages Home, about, services, contact Lead forms Every form writes into your CRM Interactive quiz Segments the visitor, routes the follow-up Funnel pages One page per campaign Service menu Grouped, priced, with booking links Live inventory Fed from your stock or listings Logins and portal Private area for clients or staff Online booking Your calendar, on the page Payments Deposits, packages, invoices CRM and database Two-way, not an export Blog and guides The pages that rank Multi-location pages One page per place people search Your build Scope Working site Features 2 selected Ready for approval about 1 week $1,000 once Your price, locked Start a build → Not on the list? It is still in scope. If it can be built into a website, it is part of the build. What goes in ### A website that does the work, not one that describes it. Every one of these is a standard part of a build. None of them is an upsell, a phase two, or a line item on a change order. 01 ### Quizzes that segment Someone who will not fill in a contact form will happily answer three questions about themselves. The quiz gives them a straight answer and hands you a segmented lead with consent attached and the follow-up already chosen. 02 ### Funnels, not just pages One offer, one page, one decision. Purpose-built landing pages for the campaign you are actually running, with their own copy and their own tracking, built alongside the site rather than sold back to you later. 03 ### Forms that go somewhere Every form writes into your CRM with the source, the campaign and the consent flags attached. No inbox full of orphan notifications that somebody has to retype at the end of the day. 04 ### Service menus Your services laid out the way a customer decides: grouped, priced or ranged, with the questions they are nervous to ask answered on the page and a booking link at every decision point. 05 ### Live inventory Stock, listings or a catalogue fed from wherever it actually lives, so the site is right without anyone maintaining it twice. Sold items disappear on their own. 06 ### Logins and portals A private area for clients, members or staff: documents, plans, order history, whatever it needs to hold. Built into the same site, on the same flat price. Pricing ### The whole price list. There is not another page. One number to build it. One optional number to keep it running. No per-execution fees, no discovery call where the figure changes. The build one time · all in ### $1,000, paid once, yours permanently However complex the build: quizzes, funnels, inventory, portals, all at this price. Copy, design and build, written for your business. Integrated with your CRM, your calendar and the tools you already run. SEO and AEO done properly: schema, meta, headings, the machine-readable layer. Analytics instrumented on day one. Revisions until you approve it, and the site stays hidden from search engines until you say it is ready. Ready for your approval within seven business days of receiving your photos and logins Launched on your domain with SSL, sitemap, robots file and structured data Every login handed to you at launch Take it and host it yourself if you would rather. No lock-in, no platform tax. Start a build → Online ### Keep it online. $64.99 per month · optional Hosting, SSL, backups and uptime, handled Up to three content changes a month Security patching and dependency upkeep Email us, it changes. No ticket portal. No optimization, SEO, AEO or reporting Choose Online Growth Most chosen ### Keep it working. Keep building. $149.99 per month · optional Everything in Online Unlimited changes to the site, turned around within one business day Same-day turnaround on anything urgent Monthly optimization: we review what visitors click and adjust Ongoing SEO and AEO work so the site shows up in Google and in AI answers New pages, landing pages, quizzes and funnels as you think of them Ongoing content written for the searches your customers make A monthly report on rankings, visits and calls from the site A quarterly call on what to build next Choose Growth Month to month. Either plan renews monthly and can be cancelled at any time with an email; cancellation takes effect at the end of the current billing month. You can switch between plans at any renewal. There is no minimum term and no early-termination fee. Third-party costs, such as your domain renewal or paid advertising, are not included. How it runs ### Four steps from "here is what I want" to a live, working site. You see it on a staging link as it comes together, not in a reveal at the end. 01 ### The call Twenty minutes. You tell us what the site needs to do and what you already run. We tell you what it will look like and confirm the number. 02 ### Scope in writing Every page, quiz, funnel and integration written down and agreed before a line is built. If it is on the list, it ships. The price is fixed here. 03 ### We build Copy, design, build, integrations, schema and analytics. You see it on a staging link as it comes together, not in a reveal at the end. 04 ### Live and yours We launch it on your domain, hand over every login, and show you how to run it. Then you either take the keys or we keep it running monthly. Built to be found ### Half your visitors are not people any more. Google's AI Overviews, ChatGPT and Perplexity do not read your homepage the way a customer does. They read the structured data underneath it. Every page we ship carries an explicit machine-readable description of the business, the service, the location and the answers, because that is what gets quoted back. ### Structured data on every page Business entity, services, locations, opening hours, breadcrumbs and FAQ blocks: the shape answer engines lift directly into results. ### A page per thing people search Nobody searches "services". They search the one procedure, in the one town, at eleven at night. Each gets a page written to be the last thing they read before calling. ### Speed as a conversion feature Static, fast and light. Someone on a bad connection sees your offer before they lose patience, which matters more than any score in a report. ### Instrumented from day one Events, funnels and attribution wired at launch, so you can tell which pages convert and which are decoration, instead of guessing for six months. By industry ### What a website needs to do in your line of work. The build is the same flat price whatever the industry. What it has to do is not. Websites for law firms Websites for med spas and aesthetics Websites for contractors and home services Websites for dental practices Websites for real estate agents Websites for solar installers Websites for restaurants Websites for retail and specialty shops Questions ### The ones everybody asks. Is it really one flat price no matter how complex the site is? Yes. The build is $1,000 whether it is a five-page site or a site with quizzes, funnels, a service menu, live inventory, logins and a client portal wired into your CRM. Complexity changes how long it takes, not what it costs. The number is agreed before anything starts, and it does not move. What does the monthly plan cover? Online ($64.99) is hosting, SSL, backups and up to three content changes a month. Growth ($149.99) adds unlimited changes within one business day, same-day turnaround on anything urgent, monthly optimization, ongoing SEO and AEO work, new pages, funnels and content as you think of them, a monthly report and a quarterly call on what to build next. Both plans are month to month and can be cancelled with an email. Do I own the site? Yes, outright, on payment of the build fee. The design, the copy and all files are yours. If you ever stop working with us we hand over the complete site within seven days and help you point your domain at any host you choose. Your domain stays registered in your own account throughout. Will it work with the systems I already use? That is the intent. The build integrates with your CRM, your booking tool, your database and your payment processor. If your scheduling or payments already work, they stay. How long does a build take? A site ready for your approval within seven business days of receiving your photos, logins and the content you want shown. The long pole is almost never the code; it is waiting on logins, photographs and copy approvals. What do you need from me? A headshot or photographs of the business, delegate access to your domain registrar so we can point the domain (we never need your password), manager access to your Google Business Profile, and the reviews or results you want shown. Then a prompt read of the copy. Do you guarantee rankings or leads? No, and nobody honest does. We do the SEO and AEO work properly and report on it every month. Search engines and AI answers are not under anyone's control. Book the call ### Thirty minutes, on your business. Bring your current site, or the idea you have been describing to people verbally for a year. We will work out what it should do, confirm the number, and tell you when it goes live. ### What happens on the call 01 What the site has to do. Book, quote, sell, qualify, or all four. 02 What you already run. The CRM, the calendar, the booking tool; it all stays. 03 The number. $1,000 to build. Confirmed on the call. 04 When it goes live. Ready for your approval within seven business days of your photos and logins. No card, no contract. A calendar invite and a Zoom link the moment you book. Prefer to talk now? (813) 444-8973 . The calendar could not load in this browser, usually a tracker blocker. Open the booking page → --- ## Law Firm Website Design, $1,000 Flat | NorthCore Labs URL: https://northcorelabs.io/websites/law-firms/ Websites / Law firms Websites for law firms ### A site that answers the question a client has at 11pm, then gets them to call. Each claim is sourced inline so you can look it up. 5 min The speed-to-lead window that decides most sales outcomes A study published in Harvard Business Review (Oldroyd, McAbee & Beck, 2011 — "The Short Life of Online Sales Leads") tracked 1.25 million sales leads across 29 B2C companies and found that firms contacting new leads within one hour were nearly seven times more likely to have a meaningful conversation with a decision-maker than those who waited even two hours. Waiting 24 hours reduced the odds by more than 60× compared to a same-hour response. The speed-to-lead window is not a soft preference — it is a documented qualification gate. For small businesses without structured workflows, the share spent on purely repetitive, non-judgment tasks is often higher. The practical implication: a five-person team almost certainly has more than one full-time equivalent of effort buried in work a system could own. A separate Bain study found that a 5% increase in customer retention can increase profit by 25–95%. The mechanism: poorly managed handoffs, missed follow-ups, and gaps in the customer journey are the primary drivers of preventable churn. In founder-led businesses where follow-up lives in the owner's head and there is no systematic trigger, the revenue that leaks quietly through lapsed customers dwarfs the cost of fixing the process. Bain & Company, "Prescription for Cutting Costs," 2001. 60–80% Of business process improvement projects that fail without a structured method The Project Management Institute's Pulse of the Profession report (published annually; 2021 edition cited) found that organizations without standardized project and process management practices waste, on average, about 11.4% of every dollar invested. More specifically, the quality-management literature on process improvement (including Harrington's Business Process Improvement and the Lean Six Sigma body of knowledge) consistently reports that 60–80% of unstructured improvement initiatives fail to hold their gains because there is no measurement system to detect drift. The framework isn't bureaucracy — it is what determines whether a change is permanent. Then fix it, with half the fee already paid. Thirty to sixty days inside your business. We map how it actually runs, find where leads, hours and revenue leak, and hand you a ranked fix list with the build scoped and priced in writing. From $2,500. Spend more than $5,000 on the build that follows and half the audit fee comes off the price. If you do not, you keep the findings and the plan. Book the first call → Call (813) 444-8973 The first call is free and takes thirty minutes. The audit starts only if we both think it is worth doing. What we look at ### A real map of how your business runs, not how you think it runs. Where the handoffs break, where the data goes dark, and where the hours and revenue disappear. ### Speed-to-lead and lead flow How fast you actually respond to new leads, where they come from, and what happens to them before anyone touches them. ### CRM and data health Whether your pipeline stages match reality and whether the data is complete enough to run reports or campaigns from. ### Manual work and automation gaps Every repetitive step a person does by hand that a workflow should own. ### Systems that don't talk The tools you already pay for that pass zero data between them. ### KPI visibility and reporting The numbers you should be watching weekly but can't, because the dashboard was never built. ### Key-person and SOP risk What happens when the person who holds all of this in their head takes a day off. What you walk away with ### Concrete findings, not a pitch deck. Five deliverables you keep regardless of what you decide to do next. 01 ### A map of how the business actually runs From the first inquiry through quoting, scheduling, delivery, payment and repeat business: who touches it, which software they use, where information is handed off, where it gets stuck, and where the work waits on the owner. 02 ### Findings, ranked, with the evidence How often each problem happens, how much time it takes, what it affects, and what we saw that proves it. Where a number needs better data before anyone should stand behind it, we say so. 03 ### Every recommendation, costed What happens today, what we would change, what the build costs, any ongoing software cost, what we need from your team, and how you will know it worked. 04 ### What breaks at twice the volume If the business takes on twice the customers, where the workload piles up first, so you fix what matters now and leave what can wait. 05 ### The order of work The first few projects, chosen with you, with owners, dependencies and milestones. Then we build them, test the handoffs, document the process and train the people who will run it. The audit from $2,500 · 30 to 60 days ### Half of it comes back to you. Priced on the size of the company, its revenue, how many departments it touches and how much software it runs. The audit is priced so that we do the work properly and you get something you can act on whether or not you hire us. When it turns into a build over $5,000, half the fee is credited toward implementation. Starts after a free thirty-minute call, only if we both think it is worth doing Quoted in writing on your size, revenue, departments and software before anything starts Thirty to sixty days, mostly our time, a few hours of yours Findings delivered in writing and walked through on a call The build scoped and priced, with the credit applied on anything over $5,000 Book the first call → Buying, or just bought ### For acquirers and the investors behind them. If you back service businesses, this is where we fit. We do the workflow and systems side, not the financial or legal diligence. 01 ### Before you buy We map the customer workflows and the systems behind them: what is manual, what depends on the owner, and what it would realistically take to improve. 02 ### After you close We work with the operator to pick the first few projects and get them implemented, without burying a new owner in initiatives. 03 ### Alongside your operator Already have an operations lead? We take responsibility for a defined build next to them, to the same written scope. Book the call ### Thirty minutes, on your business. Walk us through your business: the tools you run, where the work lives, what is breaking. No prep required. If the audit is the right next step, we say so; if it is not, we say that too. ### What happens on the call 01 How the business runs. Tools, handoffs, where the work lives. 02 Where it leaks. NorthCore Labs works on top of the software and systems you already use today. We don't move you off your EMR, we don't ask your team to learn a new platform, and we don't bill you a retainer to keep the lights on. We build the system, run it on your real patients, and hand it over. NorthCore automates ### We work the whole journey, not just one step. Most of a practice's revenue is decided between visits, and that is where nobody has time to follow up. Each agent owns one job, runs on its own cadence, and hands off to a human the moment it should. 01 ### Treatment nurture Follow-up matched to what they actually had: check-in, progress photo, and the rebook window before results fade. 02 ### Package nurture Bought a package and stopped coming? They get walked through the sessions they have already paid for. 03 ### Booking reactivation An inquiry that never booked keeps getting worked until it books or says no. Nothing ages out in an inbox. 04 ### No-show recovery A missed appointment is caught within fifteen minutes and offered the next open slot while the day can still be filled. 05 ### Dormant win-back Patients who have not been in for months, worked systematically by treatment and by how long they have been gone. 06 ### Membership and upsells The right offer to the right patient: membership for the regulars, the next step up for the ones already at the ceiling. 07 ### Visit prep Intake, consent and pre-care go out ahead of the appointment, so the treatment room is not where the paperwork happens. 08 ### Routing Anything an agent should not answer goes straight to a human, with the whole conversation attached. Run all eight or only the ones you need. Every message is sent from your own registered number under a carrier-approved campaign, and every opt-out is honored automatically. The brain, in Slack ### No new software to learn. The whole business on one page. Industry benchmark 78% of customers buy from the business that responds first. Harvard Business Review 23% average no-show rate across beauty and aesthetics. Boulevard Vagaro Aesthetic Record Mangomint Moxie Symplast GoHighLevel Podium Klaviyo Mindbody and most others Questions ### Before you book. Will this work with Vagaro, Boulevard, Aesthetic Record or my EMR? Yes. We integrate with Vagaro, Boulevard, Aesthetic Record, Symplast, Mangomint, Moxie and the major EMRs. Booking flows write into your calendar and client records stay in your existing system. We confirm exactly what we are connecting to on the call. Will this replace my front desk? No. It handles the volume your team cannot reach: after-hours calls, simultaneous DMs, follow-up sequences, no-show recovery, dormant win-back. When something genuinely needs a human, it routes cleanly. How fast can it go live? Most practices are live within 30 to 45 days. The timeline is written into your agreement before we start. What about HIPAA? We operate under a Business Associate Agreement. Patient data is de-identified before any AI sees it, encrypted in transit and at rest, never used to train models, and access is logged. How is it priced? What a system changes for your business depends on your market, your offer and your volume. How it works ### Built around your practice. We handle everything. You do not hire anyone, learn any software, or change how you run the practice. 01 ### Discovery call Thirty minutes. We audit how the business takes leads, where the follow-up breaks, and where revenue leaks. You get a straight answer on what we would build first. 02 ### Custom build and launch We build it in your voice, wire it into every tool you already run, and ship the workflows that move the most money first. Scope and timeline are fixed in your agreement before we start. 03 ### Ninety-day optimization We watch every interaction, tune scripts and workflows, and keep going until the numbers move. Then you take the keys or we keep it running, month to month. On the software you already use ### We don't move you off your stack. Bookings, records and notes are written into the system your team already opens every morning. Dentrix Eaglesoft Open Dental Curve Carestream NexHealth Weave Solutionreach RevenueWell Dolphin and most others Questions ### Before you book. Will this work with my PMS: Dentrix, Open Dental, Eaglesoft, Curve, Carestream? Yes, those plus Dolphin, Practice-Web and the major DSO platforms. Appointments and verifications are written directly into your PMS and recall lists are read out of it. We confirm exact integration points on the call. How does insurance verification actually work? Eligibility is pulled 48 hours before the visit, by procedure code, with remaining annual maximum and deductible, and posted into the patient's chart. For practices with in-network complexity we add a same-day fallback for last-minute adds. Will this replace my front desk or my hygiene coordinator? No. It handles the volume your team cannot reach: after-hours calls, the recall list nobody has time to work, the treatment plan follow-up that always loses to whoever is standing at the desk. Is patient data HIPAA compliant? Yes. We operate under a Business Associate Agreement, data is encrypted in transit and at rest, voice and SMS logs live in a HIPAA-compliant environment, and access is permissioned per staff member. How fast can it go live? We scope the build on the call and put the timeline in writing. Most practices recover a missed booking inside the first week it is live. How is it priced? One build fee, scoped to the pieces you turn on, then optional maintenance. Month to month. You get the exact number on the call. What a system changes for your business depends on your market, your offer and your volume. How it works ### Built around your business. We handle everything. You do not hire anyone, learn any software, or change how you run the business. Follow Up Boss kvCORE Sierra Lofty BoomTown Wise Agent LionDesk Real Geeks ShowingTime BoldTrail and most others Questions ### Before you book. Will this work with Follow Up Boss, kvCORE, Sierra, Lofty, BoomTown? Yes, those plus Wise Agent, LionDesk, Top Producer, Real Geeks, Compass, BoldTrail and Brivity. Lead activity, qualifications and showings are written directly into your CRM. We confirm exact integration points on the call. How does reactivating my old leads work? We segment your CRM by last activity, lead source, buyer or seller intent and price band, then run personalized SMS first, email second, and voice if the lead engages, with a booking link or auto-CMA in the message. Will leads know it is an AI? It uses your voice and brand and is not deceptive. If a lead asks whether they are speaking to a person, it says it is an assistant and offers to connect them to you. How do you handle DNC and texting compliance? Every cold lead is scrubbed against the national DNC and your state list before outreach. Messages go out from 10DLC-registered numbers. Opt-out is honored automatically and logged in your CRM. Will this replace my ISA? No. It handles the volume an ISA cannot reach: every portal notification at 11pm, every Facebook lead during a closing, the cold list nobody calls, the nurture sequences nobody runs. How is it priced? One build fee, scoped to the pieces you turn on, then optional maintenance. Month to month. You get the exact number on the call. It is everything between the call and the truck. Estimate sent, never followed up. Membership lapsed, never recalled. A storm hits and half the calls go to voicemail. The adjuster booked the wrong window. The spring tune-up list sat in a spreadsheet nobody opened. Your dispatch board says 11 jobs; ServiceTitan says 14. The system owns the work between the work: triage by severity, routing by trade, recalls on a schedule, claims tracked through to install. NorthCore Labs works on top of the dispatch software you already use. ServiceTitan Housecall Pro Jobber FieldEdge Service Fusion Workiz FieldPulse RazorSync QuickBooks Google LSA and most others Questions ### Before you book. How is this different for HVAC vs. plumbing vs. electrical vs. roofing? Trades are not interchangeable. HVAC is built around the spring and fall tune-up cycle and memberships. Plumbing lives on severity triage and after-hours routing. Electrical is permit-aware and diagnostic-visit-first. Roofing is storm-surge volume, the insurance pipeline and supplement chases. Intake, scoping and follow-up are tuned to each one. Does it really replace quoting on the spot? No, and we would not promise that. It builds the structured scope from the call and the photos so your tech walks in with the right diagnosis, the likely parts, the warranty status and the customer history. Pricing is still your call. Will this work with ServiceTitan, Housecall Pro, Jobber or FieldEdge? Yes, those plus Service Fusion, FieldRoutes, RazorSync and the major dispatch platforms. Calls, jobs, deposits, photos, scopes and notes are written directly into your system, two-way. Will this replace my front desk or my dispatcher? No. It handles the volume your team cannot reach: after-hours calls, simultaneous channels, photo capture mid-call, storm-day surge, the recall list. Commercial walkthroughs, supply-house calls and unhappy customers warm-transfer to a person. What is the recall and reactivation piece? We mine your customer base, every nameplate ever logged, every ticket, every install, segment by trade, equipment age and last service, then run recall campaigns timed to the season, from your own number. Cancellation and refund terms are written into each agreement; for websites the site stays hidden until you approve it, and we revise until you do. Is there a contract term? No. Monthly plans and maintenance are month to month and can be cancelled with an email; cancellation takes effect at the end of the current billing month. There is no minimum term and no early-termination fee. What about third-party costs? Your domain renewal, paid advertising, telephony and messaging carrier fees, and any software you choose to add are not included. Pass-through costs are shown to you before they happen. How do you take payment? By card through a secure payment link. The monthly plan is billed on the same day each month from the day the system goes live. What if I want to leave? You own the build. We hand over the complete files and every login within seven days of your request, help you point your domain wherever you like, and stop hosting at the end of your final paid month. --- ## About NorthCore Labs | Tech & Operations Firm, St. Petersburg, FL URL: https://northcorelabs.io/about/ About ### A small firm that builds the systems and stays to run them . NorthCore Labs is a tech and operations firm in St. Petersburg, Florida, run by its two founders with a bench of partner firms and vetted engineers behind them. We build the systems small businesses run on, and we stay to run them. Book a call → What we build The founders Co-founder · Head of Operations ### Will Brinegar The operator. He builds the machine, then makes sure it runs without him. Will runs every engagement NorthCore takes on, from the first week inside a business to the day the system runs without us. He reads an operation the way an engineer reads a system: where the work waits, where it breaks, and what it will take to carry twice the load. His standard is simple. Nothing gets built until he understands how the business really runs, and nothing ships until the team can run it without him. He also leads the bench, the partner firms and engineers NorthCore brings in when a build calls for more. He picks who is on it, holds them to the scope, and signs off on every piece of work. Owns Every engagement, end to end · The bench · The standard The founders Co-founder · Head of Sales and Marketing ### Chris Regnetta The first call, the hard truth, and the plan. Chris is the first person most owners talk to, and the reason they keep talking. He does not pitch. He asks where the business is leaking and keeps asking until the owner has said it out loud. He scopes and prices every engagement in writing before anyone signs, so the number you agree to is the number you pay. If something is not worth building yet, he says so on the first call. That is why owners come back when it is. He runs how NorthCore goes to market: the brand, the campaigns, and the partners who send us the businesses worth building for. Owns The first call · Scope and price · The brand and the partners The NorthCore story ### We perfected six industries. Then we went after every leak. Dialed in ### Six industries, built to the bone. We started in 2023 by picking six industries and getting them exactly right: medical aesthetics, dental, law, real estate, the trades and solar. For each one we built the website, the front desk, the follow-up and the reporting around how that business actually books, sells and delivers. Those systems are dialed. They are the fastest way we know to stop a business from losing the customers it has already paid to reach, and they run in live businesses today. The gap ### Fixing an industry is not fixing your business. Every time we shipped one, there was a whole other set of problems sitting around it. The follow-up worked, but nobody had the capacity to take the appointments. The site brought in inquiries, but quoting took three days. A template can only fix the problems every business in an industry shares. We did not start NorthCore to fix half a business and call it done. We wanted to be a solutions firm, not a fulfillment shop. Every leak ### So we built the offer that finds all of it. Before anything is scoped, we go inside the business and spend time with everyone who touches the work, from the owner to whoever answers the phones. We map how it really runs, find every place it loses revenue, margin and customers, cost each fix, and build them in the order that pays back first. The first engagement we ran that way was a Medicare agency growing faster than its back office could carry. Thirty days on site, then a six-month phased build across licensing, onboarding, compliance, commissions and reporting. 20 → 200+ Reps the agency was running on those systems by the end of that year. Their leadership drove the growth; the systems gave them room to carry it. And then we got really good at it. We did it 30+ more times, and can now proudly say: NorthCore Labs systems now help drive over $2M every month in additional revenue across our partners. In their words ### Here's what people say: ★★★★★ “I can't recommend NorthCore Labs enough. Our why Owners know where their businesses hurt. They hear it from customers, see it in the numbers and step in when the team gets stuck. But figuring out what to change—and getting it built—is a job of its own. We started NorthCore to take responsibility for that work. To learn the business alongside the people running it, figure out which changes are worth making, and see them through until they work in practice. So the next stage of growth doesn’t depend on the owner working another ten hours a week. The bench ### Two founders run the firm. A bench of engineers builds with us. Every engagement is scoped, run and signed off by one of us. When a build needs more hands, or depth outside our own wheelhouse, we bring in partners: a small set of firms we work alongside, and a network of vetted independent engineers, several of them ex-Google and ex-Microsoft, who have shipped products like Zelle. ### The founders Will and Chris scope every engagement, own the result and answer the phone. There is no account manager between you and the people doing the work. ### Partner firms A small set of firms we work alongside on larger builds, each chosen for the one thing it does better than anyone else we know. ### Vetted engineers Independent developers brought onto a project when the scope calls for it. Same written scope, same standard, and nothing ships without our sign-off. Featured on How we work ### Three rules that do not move. ### Documentation beats conversation. Every engagement runs against a written agreement that names the integrations, workflows, KPIs and deliverables we are accountable for. If it is in the agreement, it ships. ### You own the build. The site, the system, the data and every login are yours on payment of the build fee, whether or not you ever pay us another cent. ### On the software you already use. We do not move you off your EMR, your CRM or your dispatch board. We build on top of it, and we say no when the fit is wrong. --- ## Terms of Service and SMS Terms | NorthCore Labs URL: https://northcorelabs.io/terms/ ### Terms of Service These terms govern your use of northcorelabs.io and our text messaging program. Forms, demos and requests When you submit a form, you are asking us to contact you about your inquiry. Submitting a form does not create a contract for services, and does not guarantee that we will offer you services or a specific outcome. Resources we offer — assessments, guides, walkthroughs and similar materials — are provided for general informational purposes. Marketing / promotional messages — recurring automated marketing texts, including offers, product updates, case studies, events and periodic re-engagement. Checking one box does not opt you into the other. Each consent sends its own separate confirmation message. ### 4.2 Consent is never required Neither checkbox is required to submit any form on this site. Our forms submit successfully with both boxes left unchecked, and any resource you requested is delivered by email regardless. Consent to receive automated marketing text messages is not a condition of purchase , of receiving a resource, or of any other transaction with us. ### 4.3 What you agree to when you opt in By checking a messaging consent box, you agree that NorthCore Labs may send text messages of that type to the mobile number you provided, including messages sent using an automatic telephone dialing system. You confirm that the number is yours, or that you are authorized to consent for it, and you agree to tell us if the number changes or is reassigned. ### 4.4 Opting out Reply STOP , STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, OPTOUT or REVOKE to any message to stop receiving messages. We will send one confirmation that you have been unsubscribed, and then stop. You may also revoke consent by any other reasonable method — replying in your own words, emailing us, or telling us on a call — and we will honor it. Reply START to resubscribe. ### 4.5 Help Reply HELP for help, email admin@northcorelabs.io , or visit northcorelabs.io . ### 4.6 Carriers and delivery Message and data rates may apply and are set by your mobile carrier, not by us. Delivery is subject to your carrier's network and is not guaranteed. Carriers are not liable for delayed or undelivered messages. Supported carriers may change without notice. ### 4.7 Privacy No mobile information (including your phone number and SMS opt-in consent) will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell your phone number, and we never share opt-in data or consent with third parties or lead generators. See our Privacy Policy . ### 5. Calls and recording If you provide a phone number and consent to be contacted, we may call you, including with an automated dialing system or an artificial, prerecorded or AI-generated voice. Calls may be monitored or recorded for quality, training and accuracy. Tell us at any time to stop recording or to stop calling, and we will. ### 6. Services and separate agreements Our paid services are governed by a separate written agreement — a service agreement, statement of work, or order form — signed by both parties. Where that agreement conflicts with these terms, that agreement controls for the services it covers. Nothing on this website is an offer to contract, and pricing shown anywhere on the site is indicative and subject to a signed agreement. ### 7. Who we are NorthCore Labs LLC ("NorthCore Labs," "we," "us," "our") builds AI-powered lead response, communication and revenue-recovery systems for service businesses, including medical spas, aesthetics practices, dental practices, home-services companies, law firms and real-estate teams. This website and the services described on it are directed to businesses and business owners , not to consumers seeking medical or cosmetic treatment. ### 2. Who this policy covers This policy applies to information we collect about: Visitors to northcorelabs.io and any landing page we operate on our own domains; People who submit a form, request a demo, download a resource, or book a call with us; People who call, text, email or message us; Our clients and their authorized users. It does not cover information we process on behalf of a client as their service provider — see Section 9 . ### 3. Information we collect ### Information you give us Contact details — name, business email address, mobile or business phone number. Business details — practice or company name, role, location, size, specialty, software you use, and answers to qualification questions you choose to answer on our forms. Consent records — which consent checkboxes you selected, the exact wording shown to you, the page URL, a timestamp and the IP address the submission came from. We keep this to prove consent was properly obtained. Anything you send us — the contents of emails, texts, chat messages, form notes and voicemails. ### Information collected automatically IP address, approximate location derived from it, browser and device type, operating system. Pages viewed, time on page, referring URL, and the advertising parameters attached to your visit (for example utm_source , utm_campaign , or a click identifier). ### Cookies and similar technologies We use a small number of cookies and similar technologies to keep the site working, measure traffic, and measure whether our advertising works. You can block or delete cookies in your browser settings; essential parts of the site will still function. See Section 8 for the advertising specifics. We do not knowingly collect sensitive personal information — such as government identifiers, financial account numbers, precise geolocation, biometric data, or health information about you personally — through this website, and we ask that you not send it to us. ### 4. How we use your information To respond to your request — deliver a resource you asked for, answer a question, or schedule a demo. To contact you by email, phone or text about your request, in line with the consent you gave. To qualify and prioritize inquiries, and to prepare for a call with you. To provide, maintain, support and improve our services. To measure and improve our website and our advertising. To keep records that demonstrate compliance with telemarketing and messaging laws. To detect and prevent fraud, abuse and security incidents. To comply with law and enforce our Terms of Service . ### 5. SMS and text messaging We operate two separate and independent text messaging consents. They are collected on separate, individually unchecked checkboxes. Checking one does not opt you into the other, and each sends its own separate confirmation message. Consent What you receive Conversational / informational Replies to your request, delivery of a resource you asked for, scheduling and confirmation of a demo, reminders about a meeting you booked, and follow-up about the specific inquiry you submitted. Marketing / promotional Recurring automated marketing messages — offers, product and feature updates, case studies, events, and periodic re-engagement. Neither checkbox is required. Our forms submit successfully with both boxes left unchecked, and any resource you requested is delivered by email regardless of whether you consent to messaging. Consent to receive text messages is not a condition of purchase, of receiving a resource, or of any other transaction with us. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also revoke consent by any reasonable method — including replying to a message, emailing us, or telling us on a call — and we will honor it. No mobile information (including your phone number and SMS opt-in consent) will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell your phone number. Text messaging originator opt-in data and consent are excluded from every category of information sharing described in this policy, and are never shared with third parties or lead generators for any purpose. Your consent applies only to messages from NorthCore Labs and only to the program you opted into. We do not transfer, sell, rent, or otherwise make your consent available to any other sender. ### 6. Phone calls, AI voice and recording If you give us a phone number and consent to be contacted, we may call you — including with an automated dialing system or an artificial, prerecorded or AI-generated voice. Calls may be monitored or recorded for quality, training and accuracy. If you are on a call and do not want it recorded, say so and we will stop the recording or end the call. You can tell us to stop calling at any time and we will. ### 7. How we share your information We share information only as described here: Service providers who run parts of our operation under contract — hosting, customer relationship management, email delivery, telephony and messaging, scheduling, and analytics. They may use the information only to perform services for us. Professional advisors — lawyers, accountants and auditors, where needed. Legal and safety — when required by law, subpoena or legal process, or to protect the rights, property or safety of NorthCore Labs, our clients or the public. Business transfer — in connection with a merger, acquisition, financing or sale of assets, subject to this policy. We do not sell your personal information, and we do not share it for cross-context behavioral advertising by other companies. We have not sold personal information in the preceding twelve months. As stated in Section 5 , mobile information and SMS opt-in consent are excluded from all sharing categories above and are never shared with third parties or affiliates for marketing or promotional purposes. ### 8. Advertising, analytics and tracking pixels We advertise our own services on third-party platforms, including Meta (Facebook and Instagram). To measure whether those ads work, we use the Meta Pixel on our website and Meta's Conversions API on our server. These tools tell us that an action happened — for example, that someone who clicked an ad later submitted a form. Where required to match an action to an ad click, identifiers such as an email address or phone number are transmitted in hashed (irreversibly scrambled) form. We do not send Meta the contents of your form answers, your messages, or any client data. You can limit this: Adjust your ad preferences inside Facebook or Instagram. Use your browser's cookie controls, tracking protection, or a content blocker. Send us a request under Section 11 and we will stop processing your information for advertising measurement. We honor the Global Privacy Control (GPC) browser signal as a valid opt-out request where applicable law requires it. ### 9. Data we process for our clients When we build and operate systems for a client, we act as that client's service provider . The client controls that data and their own privacy policy governs it — not this one. We use it only to deliver the services the client engaged us for, under contract, and we do not sell it or use it for our own marketing. Where a client is a HIPAA covered entity and our work involves protected health information, we operate under a Business Associate Agreement with that client and handle the information under that agreement and HIPAA. If you are a patient or customer of one of our clients and want your information corrected or deleted, contact that business directly; we will support their request. ### 10. Your choices Text messages — reply STOP, or contact us by any method below. Phone calls — tell us to stop calling, on a call or in writing. Email — use the unsubscribe link in any marketing email, or contact us. Cookies — manage them in your browser. Access, correction or deletion — email us and we will act on your request. We honor opt-out requests promptly, and in all cases within the timeframes required by law. Opting out of marketing does not stop messages that are strictly about a request you made or a meeting you booked, unless you ask us to stop those too. ### 11. State privacy rights Depending on where you live — including California, Virginia, Colorado, Connecticut, Utah and other states with comprehensive privacy laws — you may have the right to: Know what personal information we hold about you and how we use it; Access a copy of it, or receive it in a portable format; Correct inaccurate information; Delete it, subject to legal exceptions; Opt out of sale, sharing for cross-context behavioral advertising, or targeted advertising — note that we do not sell or share personal information as those terms are defined; Not be discriminated against for exercising these rights. To exercise a right, email privacy@northcorelabs.io with the words "Privacy Request" in the subject line. We will verify your identity before acting, respond within the period required by law, and will not charge you for a reasonable request. You may use an authorized agent where the law allows. If we decline, you may appeal by replying to our response with the word "Appeal." ### 12. Children Our website and services are intended for businesses and for people aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has given us information, contact us and we will delete it. ### 13. Security We use administrative, technical and physical safeguards appropriate to the sensitivity of the information — encryption in transit, access controls, least-privilege permissions, and vendor review. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. ### 14. Retention We keep personal information only as long as we need it for the purposes in this policy, then delete or de-identify it. Specifically: Consent records — retained for at least five years after the last message or call, because messaging and telemarketing laws allow claims to be brought years after the fact and these records are our proof that consent was given. Opt-out records — retained indefinitely, so that we do not contact you again by mistake. Inquiry and client records — retained for the life of the relationship and for as long as needed afterward for legal, tax and accounting purposes. ### 15. Changes to this policy We may update this policy. When we do, we will change the "Last updated" date at the top. If a change materially affects how we use information you already gave us, we will take reasonable steps to tell you directly. ### 16.
