AestheticsPro and Aesthetic Record both sell med spa software. Your chart, your calendar and your numbers decide it.

AestheticsPro calls itself medical spa software and spa management software; Aesthetic Record calls itself an EMR and practice management system for med spas. Both hold a chart. The words each vendor chose are the clearest difference this page can state: medical spa software on one side, an EMR on the other, and your practice decides which description fits. The jobs owners hope a new platform will do, answering, the comeback, the segmented list and the numbers on one page, are the growth system NorthCore builds around either one.

What each one is for

AestheticsPro's home page describes it as medical spa software and spa management software for medical spas and aesthetics practices. By the registry this site keeps, it holds the calendar, the client record, the charts, the consents and the point of sale. How its chart works is the vendor's to show in a demo, and this page takes nothing further from its site.

Aesthetic Record's home page describes it as EMR and practice management software for med spas. It holds the charts, the consents, the before-and-after photos, the calendar and the patient record, and the booking is tied to the chart. NorthCore runs the growth system on it in a working practice today, reading the last treatment and the visit date for timing and leaving every chart alone.

The questions only your practice can answer

  • What Dana needs on the screen in the room. The note, the photo, the consent and the last visit, or the schedule and the ticket. Watch one visit end to end and write down which screens opened.
  • What Priya needs at the desk. Bookings, rebookings, the package balance and the checkout, or the chart's consent status before the patient is roomed. Their day decides how much the management half matters.
  • What carries a balance. Packages, series, gift cards and memberships carry balances the platform with the checkout holds; count what is open now and confirm with your accountant what is owed.
  • How the numbers get read today. If revenue by provider and treatment comes out of the checkout, the management side is the source; if it comes out of charted treatments, the record is.
  • The PHI questions: where it is stored, who at the vendor can open it, and who signs the Business Associate Agreement. Put both answers in writing, confirm with counsel, and expect no HIPAA verdict from this page.
  • What each costs at your provider count, on each vendor's pricing page and not here.

What a switch between them would mean for the chart, the balances and the calendar

Whichever direction, the chart is the legal record of care. The move is a project with rules on retention, format and access that counsel and your medical director confirm before the export is scheduled. Photos and consents travel as files and are re-attached where formats differ. Open balances, prepaid series and memberships are reconciled to the dollar and re-authorized by each patient on the new platform; what the practice owes on them is confirmed with your accountant. Your phone number comes with you unchanged. The calendar history is exported in full first, because every comeback message the system sends is timed from a past visit in it.

Ask what the switch is for before asking what it costs. If the list is the unanswered call, the patients past their interval, the party list and the numbers in four places, you are describing the growth system. NorthCore builds it on AestheticsPro or Aesthetic Record without moving a record.

Two weeks to evaluate both on your own patients

  1. Day one: pick five patients from last month, Jess among them, and print their last three visits, balances and consent status. They are the test cases.
  2. Days two to four: Dana charts one of Jess's visits in each demo; Priya books, reschedules and checks Jess out in each. Count the screens and the minutes.
  3. Day five: export last-visit dates and open balances from the platform you run today. The export is a rehearsal of the migration.
  4. Week two: send each vendor the PHI questions in writing, read each pricing page with your own provider count, and ask each for a practice your size that will take a call.
  5. Last day: for each of the five test cases, write which platform handled the chart better and which handled the desk better. Anything neither handled is a growth job for the system around the one you keep.

What to do next

Keep AestheticsPro or keep Aesthetic Record; NorthCore's Run the whole practice solution reads its numbers, builds the ninety-day plan and runs the answering, the comeback and the dashboard with the chart untouched. Scoped in writing and covered by the promise on this site: results in 90 days, or we keep working until you have them.

Have this built for your practice.

The comparison is the software. The numbers, the strategy and the system around it are what we build and run, scoped in writing. Results in 90 days, or we keep working until you have them.

Questions people ask.

What is the difference between AestheticsPro and Aesthetic Record?

In their own words, AestheticsPro is medical spa software and spa management software, and Aesthetic Record is an EMR and practice management system for med spas. Both hold a chart and serve the same kind of practice. The difference that matters is which one Dana and Priya work faster in, and the questions above test that.

Can NorthCore build on AestheticsPro?

Yes. The growth system is built around whatever record a practice keeps: the call answered on your number and booked into the calendar, the comeback timed from visit history, the segments, the dashboard. On either one it is built the same way and scoped in writing.

How long does a switch between AestheticsPro and Aesthetic Record take?

Count it in the chart, the balances and the calendar history rather than the install. The chart moves under rules counsel confirms, the balances are re-authorized patient by patient, and the visit history is exported before the old platform closes. The desk works both for the overlap period.

Where does PHI sit during a migration between them?

In both systems at once for the overlap period, and in whatever export file moves between them; how that file is handled is a question for counsel before it is created. Ask each vendor where PHI is stored and who at the vendor can see it, and confirm the whole plan with counsel; no HIPAA verdict appears on this page.

Bring the system into your practice.
