NorthCore Labs

Moxie bundles the record, the booking and the store; Aesthetic Record is the EMR. NorthCore runs on both.

Moxie is an all-in-one platform for med spas that bundles the EMR, booking and the online store; Aesthetic Record is an EMR and practice management system for med spas. NorthCore runs the growth system on each of them today in a working practice. The difference in their own descriptions is the bundle: Moxie calls itself an operating system for medspas, Aesthetic Record calls itself the EMR. Which fits depends on how much of the practice you want inside one login and what you already run beside it. The jobs around either, answering, the comeback, segmentation and the numbers, are the growth system.

What each one is for

Moxie's home page calls it an operating system for medspas and all-in-one software with an EMR at its center. It holds the calendar, the patient record, the charts, the online store and the memberships. A new practice can open on it with the record, the booking and the store in one place. On it, the system answers on the practice's number, books into the Moxie calendar and hands the patient a link to the store.

Aesthetic Record's home page uses the words EMR and practice management software for med spas. It holds the charts, the consents, the before-and-after photos, the calendar and the patient record. An owner who wants the record kept apart from the checkout, the store and the marketing reads that description one way; an owner who wants one login reads it another. The system reads visit dates for timing and writes nothing into a chart.

What about your practice decides between a bundle and an EMR

  • How many logins the practice runs today. Write them all down: the record, the booking, the store, the texting, the email, the reviews. A bundle replaces some of that list; an EMR replaces one line of it.
  • Whether the store matters. If packages, memberships and gift cards sell online as well as in the room, the platform that holds the store holds a growing share of the open balances. What you owe on them is for your accountant to confirm.
  • How the practice started. A practice opened last year on a bundle and one that chose each tool over six years have different switching costs.
  • Who owns the choice of each tool. If the owner wants to pick the texting platform, the review tool and the processor separately, write down which of those each platform already includes and which it leaves to you.
  • Where PHI will be stored, who at the vendor can see it and who signs the Business Associate Agreement. Ask both in writing and confirm with counsel; no HIPAA verdict lives on this page.
  • What each costs at your provider count, which is on each vendor's pricing page and quoted nowhere here.

What a switch between Moxie and Aesthetic Record would involve

In either direction the chart moves, and the chart is the legal record of care. The retention rules, the export format and who may open the old record are settled with counsel and your medical director first. Moving away from a bundle means replacing every piece of it you used: the store, the memberships, the booking page your site points at. Moving toward one means closing the tools it replaces. The memberships and the open balances are reconciled to the dollar and re-authorized on the new side, and what the practice owes on them is confirmed with your accountant. The phone number comes with you; the calendar history, which the comeback is timed from, is exported before anything is turned off.

The reason to switch is rarely the chart itself. Owners say the phone, the lapsed list, the party that half filled and the numbers scattered across logins, and those are the growth system's jobs. NorthCore builds and runs that system on Moxie and on Aesthetic Record, and moves nothing to do it.

A two-week evaluation of the bundle against the EMR

  1. Day one: list every login the practice uses and what each holds. Mark the ones you would keep under each platform.
  2. Days two to four: Dana charts Jess's visit in both demos with a photo and a consent. Priya books, moves and checks Jess out in both, and buys a package online where a store exists.
  3. Day five: export last-visit dates and open balances from what you run now. That export is the switch in miniature.
  4. Week two: put the PHI questions to each vendor in writing, read both pricing pages with your provider count, and call a practice your size on each.
  5. Last day: for every login on your day-one list, write stays, replaced or growth. The growth lines are the same work on either platform.

What to do next

NorthCore's Run the whole practice solution reads the numbers out of whichever you keep, builds the ninety-day plan and runs the answering, the comeback and the dashboard. Scoped in writing and covered by the promise on this site: results in 90 days, or we keep working until you have them.

The comparison is the software. The numbers, the strategy and the system around it are what we build and run, scoped in writing. Results in 90 days, or we keep working until you have them.

Questions people ask.

Is Moxie an EMR?

Moxie's home page calls it an operating system for medspas and all-in-one software with an EMR at its center. It holds the calendar, the patient record, the charts, the online store and the memberships, which is why this page compares a bundle against a standalone EMR rather than two EMRs.

Can NorthCore work on both Moxie and Aesthetic Record?

Yes. On each, the call is answered on the practice's number and booked into the platform's calendar, the comeback is timed from the record, and the dashboard reads the platform. Nothing is written into a chart on either.

Which is cheaper, Moxie or Aesthetic Record?

Pricing for each is on the vendor's own pricing page, and this page quotes neither. Read both with your provider count, your location count and your store sales in hand, because a bundle and a standalone EMR are not priced on the same list.

Is Moxie or Aesthetic Record HIPAA compliant?

This page gives no verdict on either. Ask each vendor where PHI is stored, who at the vendor can see it and whether they sign a Business Associate Agreement, then confirm the answers with counsel before signing.
