What Weave is for
Weave is an all-in-one communication platform for small businesses, built with healthcare practices in mind, as the vendor describes it. A practice on it runs the phone line and the text conversations from one desk screen, and every one of those stays put. What stays in it, what is built beside it and how the connection is made are on the page for Weave.
The growth system opens with the numbers. Revenue and margin by provider and by treatment come out of your record system; the call log, the missed-call count and the reply times come out of Weave. The ninety-day plan is written from both. Then the work goes in beside the desk. Calls that ring past the desk are picked up by the voice agent and booked onto your calendar. Texts that arrive after close get a reply in the Weave thread. The comeback is timed from the visit history and sent through Weave, and the whole picture lands on one page.
The desk keeps the number; the agent takes the overflow
A practice on Weave runs from the desk: the desk answers the phone, checks the patient in and answers the texts, all day. The gap is the hour when Priya is doing three of those at once and the fourth call rings out. The growth system is installed around that desk and that number. Where a call rings first is decided with you at install: the desk line, with the voice agent picking up on no answer, or the agent on every call after close. When the agent books, the appointment goes onto your calendar and the confirmation text goes out, so the desk reads one thread in the morning. The number, the desk phones and the text threads are left as they are. The missed-call count on the dashboard comes from the Weave call log, and the weekly review with you starts from that figure.
Job by job: where it lives and who does it
| Job | Where it lives | Who does it |
|---|---|---|
| The phone line and the text thread | In Weave | Your front desk, from the screen they already work |
| The booking and the visit history | In your record system | Your front desk and your providers |
| Answering the call that rings past the desk | The Weave line first; the voice agent on no answer or after close, booking onto your calendar | The agent, with the desk reading the thread in the morning |
| Answering the text and the web chat after hours | The growth system, replying inside the Weave thread | The text agent, with the desk picking up in the morning |
| Timing the comeback | Visit dates from the record system; the message sent through Weave | The system, in the provider's voice |
| The dashboard | The system, reading Weave and the record system | Read weekly by you |
When staying on Weave is right
Stay on Weave if the desk phones and the texting already run through it and the team opens it first thing. A desk that answers, checks in and collects from one screen has a rhythm worth keeping, and the growth system is built to fit around that rhythm. The agent takes what the desk is too busy to take, and the thread the desk reads is the one it reads today.
What a switch would cost you in time
Moving off a phone-and-text platform is a port, and a port touches every patient who has your number saved. The main line and the texting number move to a new carrier, with a gap to plan for, and the open threads are exported. Your texting registration is tied to the campaign it was approved for, and a new one has its own wait; confirm with counsel what applies. Desk phones are reprogrammed and the team learns a new screen while patients keep calling. Have counsel read the agreement before notice goes in.
How to do this on Monday
- Pull the call log from Weave for last week and count the calls that went unanswered or to voicemail, by hour of day. The busiest missed hour is where the agent goes first.
- Count the missed-call texts that got a reply from a patient and never got a reply from the desk. Those are bookings that stalled in the thread.
- Read last week's text threads in Weave and count the ones where a patient asked for a time and the desk answered the next day. Each is a booking the agent would have made that night.
- Keep the list to patients whose written consent to marketing texts is on file; what counts as consent is a question for counsel.
- Text ten of them from the Weave inbox in Dana's voice, with the booking link, and count who books by Friday.
What to do next
NorthCore's Run the whole practice solution builds the growth system on top of Weave: the answering, the comeback timing, the segmentation and the dashboard, and Weave stays where it is. Scoped in writing and covered by the promise on this site: results in 90 days, or we keep working until you have them.
