What Vagaro is for
Vagaro is a booking, point-of-sale and marketing platform used by salons, spas and many med spas. It holds the calendar, the client list, forms, memberships and the point of sale, and all of it stays there. What stays in it, what is built around it and how the connection works are on the page for Vagaro.
Vagaro's marketing tools are the sending layer. The growth system's job is the part before that: reading revenue and margin by provider and by treatment out of Vagaro, and building the ninety-day plan from them. It decides who is due, writes the message in the provider's voice, and works the reply until it books. It also answers the call and the DM, books them into the Vagaro calendar, and puts the numbers on one page. The full list is on the Vagaro page; this page is about which job lives where and what a switch would cost.
Why the forms beside the booking matter
In Vagaro the intake and the consent live beside the booking, and that changes what a growth system can check before a visit is confirmed. When the voice agent books a new patient late in the evening, the form link goes out in the confirmation text. The front desk sees in the morning whether it came back. When the comeback calendar books a returning patient, the system checks whether the consent on file is current for the treatment. If it is not, it asks for a fresh one. Which forms a treatment needs, and how often consent is renewed, is your medical director's call; the system asks only for what you tell it to ask for.

When staying on Vagaro is right
Stay on Vagaro; we never move a practice off its platform. A practice whose front desk books, checks out and collects forms in one place has the hardest part done. The growth system reads the client list and the last-visit dates, answers the phone on your number, and books into the Vagaro calendar with the note attached. Your team's screens stay as they are.
What a switch would cost you in time
Switching means the forms go first and take the longest. Every intake and consent is rebuilt field by field, and the signed copies are exported and archived rather than moved. A signed document has to be kept as it was signed; confirm with counsel what your state requires for retention. Then the menu, the memberships and the client list, each by hand or by export, with every member re-enrolled and their billing re-authorized. The front desk double-enters until the migration ends. Any remaining term on the agreement is a separate question; confirm with counsel before giving notice.
How to do this on Monday
- Export last visit by service from Vagaro and count the patients past the interval their treatment runs on.
- Open ten recent bookings and check whether the intake and the consent came back before the visit. The ones that did not are what the confirmation text will fix.
- Call your own number three times this week: during a treatment, at lunch, after close, and note what a new patient would have heard.
- Send only to patients whose written consent to marketing texts is on record; what counts as consent is for counsel to confirm.
- Write one comeback text in the provider's voice with the booking link, send it to ten patients from the list by hand, and count who books.
